ABSTRACT:  This collection contains records of the Midwest Archives Conference (MAC) from the organization's founding in 1972 until the present.  Included are records from MAC's presidents, secretaries and treasurers, council, committees, meetings, publications, public information officers, and audio-visual materials and memorabilia.  The collection documents activities of this regional archival association, particularly issues of concern, such as the appointment of the Archivist of the United States, developments in the field of archives, and the organization's bi-annual meetings.  Publications include MAC newsletters (1973-present), and MAC's journal, the Midwestern Archivist (1976-1991) and Archival Issues (1992-present).

ACCESS RESTRICTIONS:  The Accepted Journal Article Files are restricted for 15 years from the date of the review.  Some of the Journal Editorial Board files which pertain to manuscript reviews are also restricted for 15 years.  Access to these records will be available only to the current MAC Editorial Board chair.  

There are no access restrictions on the remainder of the materials, and the collection is open to all members of the public in accordance with state law.  However, the researcher assumes full responsibility for conforming with the laws of libel, privacy, and copyright which may be involved in the use of this collection (Wisconsin Statutes 19.21-19.39).


SCOPE AND CONTENT:   The collection is arranged in to the following record groups, and, unless specified, alphabetically by folder title and then chronologically within each record group.

  1. President's Files, 1972-[ongoing]. This record group contains the files of MAC Presidents, as well as some supporting documentation that precedes an individual's term in office. Files document MAC's founding in 1972 and Archie Motley's term as the first president of the organization. They also include records of subsequent presidents, such as correspondence; committee files; bi-annual meetings files; Council meeting materials; membership statistics, surveys, and questionnaires; and newsletter and journal files. The record group also documents issues of concern to the profession, such as the appointment of the Archivist of the United States, archival education, certification, MAC scholarships and awards, and developments in the field.
  2. Secretary and Treasurer's Files, 1972-[ongoing]. Although the responsibilities of the Secretary and Treasurer split in 1991, this record group includes records from both before and after that date.  It includes articles of incorporation, committee guidelines, constitution and bylaws, correspondence, Council meeting minutes, financial reports, a MAC chronology, bi-annual meeting materials, and membership data, directories, and surveys.
  3. Council Files, 1972-[ongoing]. This record group contains Council meeting materials, mainly consisting of agenda items and materials discussed at the meetings.  Records document the work of numerous committees and includes committee guidelines and reports, particularly reports regarding the planning of the bi-annual meetings. Included are financial reports, new member statistics, and editorial reports relating to the newsletter and the journal. Files also document issues of concern to the profession. While this record group includes some Council meeting minutes, a more complete set can be found in the Secretary and Treasurer's Files.
  4. Committee Files, 1972-[ongoing]. This group includes records from numerous committees. Most of the records consist of correspondence; committee guidelines, reports, and procedures; meeting minutes; and committee membership lists. The primary focus of many of these committees was the planning and evaluating of the bi-annual meetings. This record group also contains Nomination Committee materials and information pertaining to MAC elections and members, as well as Scholarship Committee files, which document the development of scholarships.  The Twenty-fifth Anniversary Committee files primarily consist of e-mail messages between committee members, but also contain information pertinent to the history and founding of MAC.  
  5. Meeting Files, 1972-[ongoing]. This group contains materials pertaining to the spring and fall meetings. Files are arranged in chronological order by meeting, and then alphabetically by folder title. Included are Local Arrangement Committee files, Program Committee files, programs, and meeting handouts and packets. The Local Arrangement Committee files include minutes and reports, which document the committee's activities in the host city. Included are materials which document hotel planning, publicity, tours and activities, vendors and exhibits, and AV needs. The Program Committee files include minutes and reports of the committee responsible for planning sessions and contacting speakers. The meeting handouts and packets contain pocket programs, lists of attendees, and information about MAC activities and other activities in the host city. This record group also includes scripts for the Raiders of the Lost Archives programs which MAC members performed at several MAC meetings.
  6. Publications.  This group consists of the following series:
    1. Calendar, 1992-2001. The MAC Calendars note dates of importance to archivists. Each month features a photograph from an archives in the MAC region.
    2. Journal, 1976-[ongoing]. MAC's semi-annual journal, The Midwestern Archivist (1976-1991) and Archival Issues (1992-present), is concerned with issues and problems confronting the contemporary archivist. Articles relate to archival theory and current practice, archival history, and aspects of related professions of interest to archivists, such as records management and conservation management.  The journal also contains seminar proceedings, case studies, and book reviews.
    3. Journal Editorial Board, 1974-[ongoing]. These records largely include correspondence with other board members and individuals who submitted articles for publication; and minutes and reports pertaining to the status of articles, book reviews, and the journal's production.  Also included are files on advertising and production costs, review guidelines, and the journal's name change. Files pertaining to manuscript reviews are restricted for 15 years. 
    4. Accepted Journal Articles, 1974-[ongoing]. These records are restricted for 15 years from the date of the review.  Files contain review forms, correspondence, and drafts of articles submitted for publication.  Arranged by journal volume, these files also contain "Assignment of Rights" forms. 
    5. Newsletter, 1973-[ongoing]. The newsletter provides information about meetings, committees, Council, repositories, publications, Web sites, members, awards, jobs, current issues, as well as other news related to the archives profession.   
    6. Newsletter Editorial Board, 1972-[ongoing]. Newsletter Editorial Board files mainly consist of correspondence pertaining to newsletter articles, announcements, and columns, including the "Institutional Spotlight" column, which focused on a specific repository.  Also included are newsletter reports and procedures.
  7. Public Information Officer Files, 1986-[ongoing]. Files contain publicity information, and include files pertaining to the MAC brochure, MAC logo, and awards.  
  8. Audio-Visual Materials.  This record group consists of the following series:
    1. Photographs and Slides, 1982-[ongoing]. Series includes photographs and slides, mostly of MAC members at various MAC meetings.
    2. Tapes, 1974-[ongoing]. Series includes cassette and video tapes of Raiders of the Lost Archives productions from 1983 and 1986, and tapes from the Special Projects Committee Seminar on Regional Archival Systems held in July 1974.
    3. Memorabilia, 1972-[ongoing]. Series contains memorabilia such as buttons, T-shirts, proclamations and resolutions, and various items that were distributed at MAC meetings.

ADMINISTRATIVE HISTORY:  The Midwest Archives Conference (MAC) was organized at a June 1972 meeting attended by 111 interested professionals.  Since its founding the organization has grown into one of the largest regional archival associations in the country.  Members include archivists, manuscript curators, librarians, records managers, historians, and allied professionals working in historical societies; local, state, and federal archives; college and university archives; religious archives; health science archives; and corporate archives.  The MAC region covers 12 states:  Illinois, Indiana, Iowa, Kansas, Michigan, Minnesota, Missouri, Nebraska, North Dakota, South Dakota, Ohio, and Wisconsin. 

MAC holds bi-annual meetings, in spring and fall, in cities throughout the region.  The organization publishes a quarterly newsletter and a professional journal.

ACQUISITION:  The Midwest Archives Conference donated its records to the UWM Archives in January 2003.  At that time, the collection was transferred from Northwestern University in Evanston, Illinois to the University of Wisconsin--Milwaukee (accession number 2002-070).  Numerous additional records from MAC members were also added to the collection (accessions 2001-033, 2001-039, 2002-029, 2002-056, 2002-089, 2002-109, 2003-006, 2003-082, 2004-016, and 2004-019, donated between November 2001 and September 2004).


PROCESSING: As much as possible, the arrangement of the collection follows the original record groups established by MAC archivist Patrick Quinn.  After the collection arrived at UWM, Christel Maass processed the collection from February 2003 to November 2004, assisted by Andrew Blahnik, Ann Stachewicz, and Jesse Gant. 


DEACCESSION NOTE: On July 1, 2005, Christel Maass removed from the collection all rejected Midwestern Archivist and Archival Issues manuscripts and all accepted manuscripts that were withdrawn prior to publication. These were originally housed in boxes 92 through 97.
