Overview

Prefix progressions through a title series do not require a title review.?Your justification for the prefix change will be written directly on the Salary Adjustment Form rather than in a separate memo and unless you are recommending greater than a 10% increase the process is rather simple. (see prefix criteria below in reference section) You will submit a Salary Adjustment Form and a Personnel Action Form and after the Vice Chancellor approves the prefix change, a letter is sent to the employee notifying them of their promotion.

 

Title upgrades may include several levels of approval depending on the title and the rules in ASTAC Plan (referenced below).?To begin the process the department will submit the UWS PQ or the UWM PD, an organizational chart(s) and any justification that explains the event that is creating the necessity for a different title.?

 

Once the Personnel Representative sends the UWS PQ or UWM PD through the appropriate channels (HR, ASTAC Committee, UWS and/or Provost’s Office) and final approval is received from the Human Resources Director the department will submit the Salary Adjustment Form, PA, and justification for salary over 10% (if appropriate).

 

Once the Salary Adjustmnet Form is approved, the employee will receive a letter of promotion from the Vice Chancellor along with a new Student Affairs Position Description.

Organizational Chart

A current organizational chart is required for a title review (except for prefix promotions)?When a realignment of staff is involved in the upgrade it is helpful to provide an organizational chart for the before and after hierarchies.?

 

 

 

Signatures Required

The Salary Adjustment Form must be signed by the director, the Personnel Rep, and the Vice Chancellor.?All of the PDs or PQs are signed by the director before they are submitted to the VC Office.?The Student Affairs PD is later signed by the Vice Chancellor and Employee when the transaction is finalized.?The PA is signed by the director or designee and then it is signed by the Personnel Rep and UBR.
